    Change management system

A change management system where the change lands in the process

Most change fails because the new way of working is never written down anywhere people look. Here, an approved change updates the routine, the owner and the version history in one move.

    The problem

    Approved change, unchanged behaviour

Change registers track decisions. They rarely track whether the way of working actually moved.

    Change Manager

The change log and the process live apart

A change is approved in one tool while the procedure stays untouched in another, so the organisation keeps working the old way.

    Process Owner

    Nobody owns the after

Approval has a clear owner. Implementation, communication and verification often do not, so adoption is left to chance.

    Compliance / Audit

You cannot show what changed when

Without version history on the routine itself, demonstrating controlled change becomes a manual reconstruction exercise.

    How ModusIQ solves it

Change requests that end in an updated routine

    01

Change as a case, linked to the process

Every request is a case attached to the routines it affects — so scope, impact and affected roles are visible before approval.

    02

    Approval, then a required update

An approved change points at the routine to revise and the role responsible for revising it. Closure means the documentation moved, not just the decision.

    03

Version history as your change record

The routine's own history is the audit trail: what changed, who changed it, when and against which approval.

    04

Impact visible across roles and processes

Because processes carry role ownership and dependencies, you can see which teams and interfaces a change touches before it ships.

    Before your next audit

    A change control health check

    • Every change request names the routines it will affect.
    • Approval records the role responsible for implementing the update.
    • A change cannot be closed while the affected documentation is stale.
    • Affected roles are identified from the process map, not from memory.
    • Version history on the routine matches the change register.
    • Post-change verification is recorded, not assumed.

    FAQ

    Questions we get asked

What is a change management system?

It is the system for requesting, assessing, approving and implementing changes to how an organisation works or what it operates. An effective one connects the approval to the documentation and roles the change affects.

Is this ITIL change management or organisational change?

Both patterns fit. The mechanics are the same: a request, an impact assessment against documented processes and roles, an approval, an implemented update and verified closure.

    How does this improve adoption?

Adoption improves when the new way of working is written where people already look, owned by a named role, and visible in version history. That removes the gap between decision and practice.

Can we keep our existing approval board and criteria?

Yes. Approval steps, criteria and thresholds are configured as part of the case type — what changes is that closure requires the affected routine to be updated.

    Does it produce audit evidence?

Yes. Change cases and routine version histories export as PDF reports, which is what auditors ask for when testing controlled change.
